Crowborough RFC Communications Guidance & Social Media Policy
Official communication platforms
Crowborough RFC uses the following owned channels for all official club communications:
Primary Channels
• Pitchero – The club’s main communication hub. Content posted here feeds the club website homepage, Facebook, X, and the weekly email newsletter.
• Pitchero Emailer – Used to communicate directly with age groups or the whole club.
Social Media Channels
• Instagram – Centrally managed at club level. Posts may be automatically shared to linked platforms.
• Facebook – Centrally managed at club level, including closed groups for Minis, Walking Rugby, and Touch Rugby. Admins may share selected posts to local community groups.
Only these channels may be used to represent Crowborough RFC unless explicit permission is granted by the Marketing & Communications Director.
Creating Match Reports on Pitchero
Method 1: Pitchero Manager App (Recommended)
The quickest way to publish results and reports immediately after a match.
1. Open the Pitchero Manager App and sign in.
2. Go to your team’s schedule and select the relevant fixture.
3. Tap Match Centre.
4. Select Result to enter the score.
5. Select Report to write and publish the match report.
6. Upload photos or videos directly from your phone if desired.
Method 2: Pitchero Website Control Panel (Desktop)
1. Log in to the Club Control Panel.
2. Select Teams from the left-hand menu.
3. Choose the relevant team.
4. Select the fixture.
5. Click Match Report.
6. Add a title, tagline, and report body.
7. Click Publish.
Tips for Effective Match Reports
• Use photos/videos to increase engagement.
• Record match statistics (tries, conversions, cards, scorers).
• Keep highlights short (5–10 seconds) for mobile viewing.
• Keep reports balanced – especially for Minis and Juniors. Avoid singling out individual children unless agreed by coaches and parents.
Uploading Photos to Pitchero
How to Upload (Desktop)
1. Log in to Pitchero.
2. Open the Club Control Panel.
3. Go to Site Content → Photos.
4. Upload new albums or add to existing ones.
5. Review the privacy setting – you can set the album to only be viewed by your team – this is preferable for anyone under 18, unless it is a specific low number of photos to be used for marketing purposes.
6. To link photos to a match report, go to Teams → Fixture → Videos & Photos.

• Approval – Albums may require approval by a webmaster before appearing publicly.
• Visibility – Albums can be set to Public or Private and assigned to specific teams.
• Safeguarding – Only upload images of players with confirmed photographic consent.

Posting Guidelines for Official Channels
General Rules
• Only approved club channels may represent Crowborough RFC.
• All Pitchero posts are typically reviewed within 24 hours.
• Pitchero content feeds the weekly club newsletter and club social media accounts.
• The club may limit the number of posts shared publicly to maintain balance across age groups.
• All posts must comply with the club’s Filming & Photography Policy.
Safeguarding & Permissions
• Photographic/video consent must be confirmed for all players and opposition teams before posting. Evidence may be requested.
• No drone footage may be used without appropriate permissions and compliance with legal requirements.
• Age grade content must be posted under the correct age group to allow members to opt out of irrelevant content.
Tone & Conduct
To protect the club’s reputation and ensure a positive environment:
• Keep posts positive, inclusive, and respectful.
• Do not criticise referees, opposition, or players.
• Avoid posting emotionally charged content immediately after a match.
• Do not share confidential or sensitive information.
• Do not engage in arguments or negative discussions on public platforms.
Crisis or Sensitive Issues
If an incident occurs (injury, disciplinary matter, safeguarding concern, or negative press):
• Do not post anything on social media.
• Immediately escalate to the Marketing & Communications Director or Club Chair.
Additional Recommendations
Brand Consistency
• Use approved club logos, colours, and naming conventions.
• Avoid creating unofficial team logos or graphics.
Admin Responsibilities
• Each age group should nominate at least one Pitchero trained admin.
• Admins must follow safeguarding and content guidelines at all times.
Data Protection
• Do not share personal information (e.g., injuries, medical details, contact info).
• Respect privacy settings and opt out preferences.
